Reporting

Standard reporting and exporting reports

In Practice Management there is an extensive suite of reports. To access them, select the Reports menu at the top of the screen.

While you can run reports directly from the drop-down, we recommend navigating to the main Reports page by clicking on the Reports menu item.

You can also use the reports module.

The Reports page layout

The reports available to you will depend on your security role. If you need to allocate additional reports to an employee or role, please refer to the relevant documentation for Security Roles. You must be an Administrator to make these changes.

You can search for reports using the reporting categories or the Name Contains search.

On the left-hand side, you will see a list of favourite reports and recent reports for quick access.

The framework of Practice Management reports is identical, regardless of which report you run, however the filters and Group by options will differ depending on the nature of the report.

You can see below reports in the Work in Progress category. Those ticked in Favourite column will be available on the home page for direct access.

Example report - Pre-Billing Detailed report

Under the Work in Progress category, are the Pre-Billing Detailed report and the Pre-Billing Summary report.

To run a report, click on the report name (the quick/hyperlink).

Filters are always displayed on the left.

If you have extremely large data sets and only need specific data, applying filters will help to speed up report processing.

If you do not select any filters, the report will run across all data in your site. By default, most options are set to include all data. For example, Select Options and [All] will default to all.

It’s important to distinguish between filters , which determine what data is included in the report, and Group by , which controls how the data is displayed. The available options will differ for each report, depending on the information that report includes.

These options are not sticky. They reset to system-wide default options each time you open the report. If you would like different options, you will need to select them each time; however, you can change them and re-run the report easily without closing and reopening.

In this example, narrow the report by selecting the Task Office field and choosing Melbourne.

Narrow it further by selecting Business Advisory for the Task Service Line. Skip the other fields for now.

Because this is a WIP Pre-Billing report, the Date To field is also important. The report will include all open WIP to that date , based on the filters that have been set.

The next section is the Group by filter. For this example, leave all Group by options set to None.

Lastly, click Show Report to run the report.

Some reports also have drill-down functionality. If you want to review a client’s records, click on the client’s name (blue hyperlink) and you will be taken to that client’s record.

Save, print or export reports

To save, print or export a report, click the Save icon. You can export to Excel , PDF or Word.

If you open the report in Excel, it will display with the same formatting as shown on screen.

Accessing raw data

If you prefer to work with raw data, this option is available.

At the bottom of the Filters section, select the Setup Export checkbox to toggle it on. You can do this after you’ve run the report, then click Show Report again.

When the report re-runs, you will see an Excel icon at the top next to the word Filters. Click this icon to export the raw data to an Excel file.

The extract will not retain the report formatting you selected, and you will likely see additional columns that do not usually appear, as all data for each entry is now displayed. This option is useful if you want to manipulate the data further in Excel.
