Key things to know
-
If your practice uses AE/AO, create and remove users in AE/AO, not in Practice Compliance.
-
Before you remove an AE/AO user, remove their file access first in Practice Compliance.
-
Removing a user from Practice Compliance doesn't remove every type of file access automatically.
-
If the user's access is managed in the file itself, you may also need to remove their access there.
-
Access to AE/AO or Practice Compliance may not give a user access to account features like downloads, registrations or support requests.
We’re rolling out a new account management experience. You may notice some differences if we haven't reached out to let you know you’ve been moved to the new experience.
Add or remove users to keep access up to date as people join, change roles or leave your practice. How you do this depends on which product you use. Your MYOB account and client file access is managed separately, so each person accesses only what they need.
What adding users does
Adding users lets them log in to Practice Compliance or AE/AO. It also links their MYOB ID to your practice account so they can submit and track their own support requests in My Account.
It doesn't give them access to MYOB account management. MYOB accounts are managed by account contacts.
Access to client files is also managed separately.
Learn more about MYOB IDs and access.
If a user doesn't have the level of access you're expecting, your Primary Contact or Billing Contact needs to contact us.
Add or remove users in AE/AO
Add users in AE/AO
Follow the steps in the Practice Manager help if you want to create a user or delete a user. This applies if your practice uses both AE/AO and Practice Compliance.
You can view added users in Practice Compliance by clicking Settings (the cog) and choosing Users.
Remove users in AE/AO
Remove file access before you remove users
If your practice uses Practice Compliance, remove employee file access there first before you inactivate or delete an employee in AE/AO.
Remove users
In Practice Compliance, click Settings (the cog) and choose Users.
Click the user you want to update.
In the File access section, click the arrow.
Click Edit.
Clear the files the user should no longer be able to access.
Click Save.
If you need to remove the same user from multiple files, you can also use Settings > Manage file access and remove the user from each file there.
If users have elevated privileges
If the user is a file Owner, Online Admin or Advisor in MYOB Business, or Administrator in AccountRight Live, the access needs to be removed by a user with these same access privileges or by the file owner in the file itself. Learn more about Managing Users.
Check that users can't access My Account
Removing a user from AE/AO or Practice Compliance doesn’t always remove their link to your practice account. Check that they can no longer use any My Account features they previously had for your practice, including support requests, downloads or software registration.
If they still have access, your Primary Contact or Billing Contact needs to contact us to have them removed from the practice account.
Add or remove users in Practice Compliance
Add users in Practice Compliance
If your practice uses Practice Compliance but doesn't use AE/AO, Practice Administrator can add users and control their access to certain features. For example, applying permissions to perform certain tasks, restrict user access to a client, give users access to a client and give access to client files.
In Practice Compliance, click Settings (the cog) and choose Users.
Click Invite user on the top-right.
Enter the user's email and click Check email.
If the user doesn't exist, complete the additional fields for their name and job title.
If you want to restrict or expand what the user can do, select their permissions.
Optionally, choose any restricted clients this user should have access to.
This gives the user access to their client record only, not their online file. You can also edit client restrictions later.Click Send invite on the top-right.
The user will receive a welcome email.
Remove users in Practice Compliance
You need to be a Practice Administrator to remove users in Practice Compliance. You can't remove yourself as a user.
If you use AE/AO, follow the AE/AO steps for deleting an employee instead.
In Practice Compliance, click Settings (the cog) and choose Users.
Select the user you want to remove.
Click Remove user.
If users have elevated privileges
If the user is a file Owner, Online Admin or Advisor in MYOB Business, or Administrator in AccountRight Live, the access needs to be removed by a user with these same access privileges or by the file owner in the file itself. Learn more about Managing Users.
