Creating a file

File ownership and access

When creating a file, you'll need to choose whether your client or your practice will pay the subscription fees.

Who will pay for the subscription fees - My client or My practices options

If you choose:

  • My client, your client owns the file and needs to accept the quote and provide payment details before your practice can work on the file.

  • My practice, your practice owns the file and can work on the file as soon as you finish creating the file. This is a good option if you need to begin work immediately.
    You can always submit a request to make your client the subscription payer later. See Change the subscription payer below.
    If you want your client to work on the file, you also need to give your client access to the file.

File admin and billing contact

When creating a file, the Online Admin and Billing Contact is based on whether you select your client or practice as the subscription payer, and who you enter as the primary contact. You can see these access permissions in the section What this means for file access.

Create a file

  1. Go to All clients > Client files > Online files and click Create file.

  2. Select or create the file's client.

  3. If the client's not already available for you to select and you don't see the option to create a client:

    1. Create the client in MYOB AE/AO.

    2. Allow the details to sync from AE/AO.

    3. Refresh the Create client file(s) page in Practice Compliance.

  4. Choose My client or My practice as the file subscription payer.

  5. Enter the file's primary contact details.

  6. Click Choose plan on one of the MYOB product options. You can change the product later if your client's business needs change.

  7. Click Continue.

  8. If you chose an AccountRight product, enter the financial year and conversion month.
    The conversion month is the earliest month for which you want to record transactions and opening balances.

  9. Click Create file or Send referral.
    You can access the file in Client files > Online files.
    If your client is paying for the file, the file will have a waiting for client tag. Your client will receive an email to let them know they have a file ready for setting up payment, and you'll receive an email when the client's finished their part and you can access the file.

After you've created the file

Finish setting it up by selecting the accounts list and entering opening balances.

Invite others to the file

If you have Practice administrator or Manage File Access permission, you can give other users from your practice access to the file from Practice Compliance.

If you want to give your client access to the file because your practice paid for and owns the file, you can give your client access from within the file.

Manage file payments

Set up your practice payment profile.

Change the subscription payer from your practice to your client.

User restriction options
