Creating a file

When your practice onboards a business, or helps a business move from other accounting software, you will need to create an online client file before you can begin working on its accounts.

Before creating the file, decide whether the client or your practice will pay for the subscription. This determines who owns the file, how soon your practice can begin working in it and whether you will need to give the client file access separately.

Get ready to create the file

There some thing you need to prepare and decide before creating the file, like who will pay and own the file.

Make sure your clients are set up

The file must be linked to the client in Practice Compliance so it appears with their other work and information. You you can do this before you start to create a file, or during the process.

If the client is already available in Practice Compliance, you can select them when creating the file.

If you don't see an option to create a client in Practice Compliance, create the client in MYOB AE/AO. Let the details sync, and then you'll be able to refresh the page and select the client.

Know who's going to pay for the file

The subscription payer owns the file, so consider who should manage the subscription and when your practice needs to begin work. If you choose:

  • My client as payer, your practice cannot work in the file until the client accepts the quote and provides payment details..

  • My practice as payer, your practice can work on the file as soon as you create the file.
    You can later submit a request to make your client the subscription payer.
    If you want your client to work on the file, you also need to give your client access to the file.

Choose a primary contact who can manage the file

The primary contact details determine who gets file administration and billing access.

Choose someone appropriate to manage the file and subscription, then review What this means for file access when creating the file to check what this means for access.

Choose the product and starting period the business needs

Choose the MYOB Business or AccountRight product that suits the business. The product can be changed later if needs change.

For AccountRight, you'll also need to choose:

  • The financial year the business will begin recording transactions in.

  • The conversion month, which is the earliest month for recording transactions and opening balances.

Create the file

  1. Go to All clients > Client files > Online files and click Create file.

  2. Select or create the client, then choose My client or My practice as the subscription payer.

  3. Enter the primary contact, choose the product and complete the AccountRight settings if required.

  4. Click Create file or Send referral.

The file will appear in Client files > Online files.

If the client is paying, the file will show a waiting for client tag until they accept the quote and provide payment details. You will receive an email when the file is ready for your practice to access.

Finish setting up the business

Once you can access the file, select its accounts list and enter the opening balances.

Give the right people access

If you have Practice administrator or Manage File Access permission, you can give other Practice Compliance users access.

If the practice owns the file and the client needs to work in it, invite the client from within the file.
