AE/AO integration with practice management

This article outlines the integration between GreatSoft and MYOB AE.

The integration is a 1-way flow of data from GreatSoft to AE/AO desktop.

Any changes made to a linked field in AE will be overwritten the next time the integration runs for that client.

The GreatSoft Integration runs in intervals of 30 seconds. This means that GreatSoft is polled every 30 seconds for changes which are then processed to the relevant AE/AO system.

The areas currently integrated are:

  • Offices

    • New Offices

      • New Offices

        created in GreatSoft and attached to a client picked up by the integration are created in AE/AO.

  • Clients

    • New Clients created.

      • New Clients created in GreatSoft will be picked up and created in AE/AO.

    • Updates to client information.

      • Certain fields are mapped in the integration, refer to the detailed Integration mapping article for full details of the fields mapped between the 2 systems.

      • When an update happens in GreatSoft to a mapped field, this change is picked up by the integration and the change made in AE/AO.

  • Family Groups

    • New Family Groups.

      • New Family Groups created in GreatSoft and attached to a client picked up by the integration are created in AE/AO.

    • Updates to Family Groups.

  • Employees

    • New Employees.

      • New Employees created in GreatSoft and picked up by the integration will be created in AE/AO.

    • Updates to certain employee information.

      • Certain fields are mapped in the integration, refer to the detailed Integration mapping article for full details of the fields mapped between the 2 systems.

Items not currently integrated between GreatSoft and AE/AO.

Depending on the firms requirements, the Integration between GreatSoft and AE/AO can configured as follows:

  • Single GreatSoft system to a Single AE/AO System

    • All Staff, Clients, Family groups would flow from GS to AE/AO.

  • Single GreatSoft system to Multiple AE/AO Systems

    • The primary identifier here would be the Office. Each office in GreatSoft would be mapped to an AE/AO System.

    • Changes to Staff, Clients, Family Groups would only flow through to the AE system their offices is mapped to.

      • It is possible that firms may want Clients + Family Groups to be split by Office but for employees to sync from GreatSoft to multiple AE/AO systems, this is also possible.
