Set free from slow and laborious processes
By building upon their existing MYOB Greentree functionality OARS lessened the workload required to stay transparent and allowed them commit to new programs with confidence.
OARS (Offenders Aid and Rehabilitation Services of SA) is a voluntary community association that has been helping former offenders and their families in South Australia since 1886.
It provides accommodation and counselling services to people released from prison, their partners and children.
Drowning in reporting requirements
At any given time, OARS may be looking after 300 to 400 clients, and demand for its services is constant. “Our programs are very successful; the recidivism rate is low,” says Tim Tonkin, Manager – Resources.
Over the last decade, OARS’ reporting needs had grown steadily, with 20 to 30 cost centres to manage. This process was slow and laborious, with each funding program requiring its own reports – quarterly, six-monthly or annually.

Better reports in less time
OARS had been using MYOB Greentree for a long time. “Happily, when we needed to add new functions, our Greentree partner knew just what we needed.” By adding Reports and Documents Tim runs reports directly out of Greentree, instead of exporting figures into manual spreadsheets.
“It’s much quicker from an audit perspective, and I can run so many different types of reports,” he says. “Previously, it was slow to update information and spreadsheets needed to be manually cross referenced. Any mistakes would waste even more time.”
OARS also added Human Resources & Payroll and Employee Development to Greentree. “We wanted a central location to store employee information, and to eliminate errors in the payroll.”

More work, no worries
OARS’ Greentree system is now primed to handle the extra workload and costing requirements arising from involvement in new government initiatives including disability services, home detention monitoring, as well as drug and alcohol programs.
“We need to be flexible in our management processes to accommodate these new programs,” Tim says. “We need to be able to set them up quickly; we can’t afford to wait around because other organisations are competing for the contracts.
"Hours of time are saved every month extracting reports, all cost centres are visible in real-time, employee checks and reviews are no longer missed."
